Durable medium use cases of S3DOC

1. S3DOC as a durable medium in Bank

If you are covered by MiFID and PSD, you know the problem of a durable medium. S3DOC responds to the problem of providing consumers with essential terms and conditions on a durable medium. A durable medium is a medium that technologically blocks the possibility of modification and removal of documents. The Blockchain platform used in S3DOC and additional cryptographic mechanisms allowed to achieve compliance with the definition of a durable medium.

 

S3DOC features for durable medium:

  • allows you to add a document to the system
  • generates a unique document key
  • allows access to the document only through a unique key (no possibility to list the contents of the register with documents)
  • guarantees that the document cannot be modified
  • guarantees that the document cannot be deleted
  • provides lifelong access to the document
  • access to read documents is not restricted in any way (if you know the unique code of the document, you can read it)

 

How to use the system?

Let’s assume we have a bank and a client for that bank. The Bank must provide the customer with the regulations for using the bank account on a durable medium.

  1. The Bank prepares a document with the Regulations
  2. The Bank enters the document with the Regulations into the S3DOC system.
  3. The S3DOC system generates a unique document access key (the key may be available as a unique url link).
  4. The Bank verifies whether a relevant document is held under key.
  5. The Bank sends to the customer (or many customers) by e-mail an url link leading to a document with Terms and Conditions.
  6. The customer receives an email with a unique url link to the document with the Terms and Conditions.
  7. The client clicks on the unique url link and downloads the document. This operation may also be performed after the term of the agreement with the Bank.

 

2. S3DOC as a durable medium in e-commerce

The Act on Consumer Rights imposes an obligation on entrepreneurs to use a durable medium. The S3DOC system is an answer to the problem of providing consumers with, among others, regulations of Internet services and essential conditions of the contract on a durable medium. The term durable medium is understood as a medium which in a technological way blocks the possibility of modification and removal of documents. The components and cryptographic mechanisms used in S3DOC allowed to achieve the state of compliance with the definition of a durable medium.

S3DOC system features to ensure the status of the durable media

  • allows a document to be added to the system
  • generates a unique document key
  • allows access to the document only through a unique key (no possibility to list the contents of the register with documents)
  • guarantees that the document cannot be modified
  • guarantees that the document cannot be deleted
  • allows lifelong access to the document
  • access to read documents is in no way restricted by permissions (if you know the unique document code, you can read it)

 

How to use the system?

Let us assume that we have an Internet Portal and a Client of this Portal. The Portal must provide the Client with the rules of providing services on a durable medium.

  1. The Portal prepares a document with the Regulations
  2. The portal introduces the document with the Regulations into the S3DOC system
  3. The S3DOC system generates a unique document access key (the key may be available as a unique url link)
  4. The portal verifies that the relevant document is under key
  5. In the process of acceptance of the Regulations, the Portal places an url link leading to a document on a durable medium containing the Regulations of providing services
  6. The client has the possibility to “click” and open the document. Durable carrier guarantees the customer invariability of the regulations. The customer can download the document to a local disk.
  7. The portal, by means of e-mail or SMS, sends the client (or many clients) the url link leading to the document with the Regulations.
  8. The client receives an email or SMS message with a unique url link to the document with the Terms and Conditions.
  9. The client “clicks” on a unique url link in an email or SMS and downloads the document. This operation can also be performed after closing the account on the Web Portal

 

3. S3DOC eSign – digital signature

The legal basis for such IT solutions is the EU regulation – eIDAS.

eIDAS is a 2014 EU Regulation. It regulates, among others, issues related to the digital signature in relation to electronic transactions. The regulation defines 3 types of digital signatures: “ordinary’, advanced and qualified. The former is already sufficient to make declarations of intent.

Definition of an ordinary digital signature: „Digital signature’ means data in digital form which are attached to or logically associated with other data in digital form and which are used by the signatory as a signature;

This means that, according to the eIDAS Regulation, an digital signature is a means of establishing that certain data in electronic form have been attached to or are logically linked to other data in order to be signed by an individual.

Polish law also provides for making declarations of will in digital form.

 

How to use the system?

Suppose we have a loan company and its client. The loan company must provide the client with a loan agreement on a durable medium and receive the client’s acceptance of the agreement.

  1. The loan company prepares a document with the Agreement
  2. The loan company enters the contract document into the S3DOC durable medium
  3. The S3DOC system secures the document and generates a unique document access key (the key may be available as a unique url link)
  4. The loan company is preparing a document for acceptance in the S3DOC eSign module
  5. The S3DOC system generates a unique link for document acceptance
  6. The loan company sends an SMS to the client a link to accept the document
  7. The client receives a link and opens it
  8. The client sees the content of the document and the possibility of making a decision (acceptance or rejection of the document)
  9. After accepting the document, the client receives an authorization code from the S3DOC eSign module
  10. The customer enters the authorization code confirming his decision (he submits a declaration of will confirmed by a single authorization code)
  11. Durable carrier guarantees the customer invariability of the Agreement. The customer may download the document to a local disk.
  12. In the history of the document, the lending company sees what decision the client has made (full digital signature metric is available)

 

4. S3DOC as protection against early opening of tenders

Each action has several important dates in the cycle. These include, inter alia, the deadline for the submission of tenders and the deadline for the opening of tenders. The first term is easy to verify. The easiest way to do this is to temporarily switch off the bidding function after the specified deadline.

It is worse to protect against the opening of bids before the deadline set in the tender expires. Earlier access to offers makes it possible to manipulate the results of tender procedures. Despite the many different security measures in standard solutions, there is always an administrator who has access to everything in the system, including complex offers.

The S3DOC system solves the problem of unauthorized early opening of tenders.

 

S3DOC features for secure offers

  • allows you to add a document to the system
  • documents are divided into blocks and saved in a way that makes it impossible for the administrator to view them (only the system knows the algorithm of combining blocks into a whole)
  • access to documents may be limited in time (documents accessible only after the specified time limit)
  • generates a unique document key
  • allows access to the document only through a unique key (no possibility to list the contents of the register with documents)
  • guarantees that the document cannot be modified
  • guarantees that the document cannot be deleted
  • provides lifelong access to the document

 

How to use the system?

Suppose we have a Purchaser and a Supplier making an offer. The definition of a tender procedure stipulates that a tender is submitted in S3DOC and that the procedure is accompanied by unique document codes received from S3DOC.

  1. The Purchaser shall launch the procurement procedure
  2. Supplier adds the offer document to the S3DOC system by setting the opening date of the offer
  3. The S3DOC system generates a unique document access key (the key may be available as a unique url link).
  4. The Supplier shall provide the Purchaser the document codes from the S3DOC system.
  5. The S3DOC system blocks access to documents until the deadline for opening offers is reached.
  6. After the deadline for opening the offers has expired, the Purchaser shall collect the documents using the document codes received from the Supplier.

 

5. Archive of diplomas, certificates, and printed materials

The S3DOC system, thanks to its built-in cryptographic mechanisms and the use of Blockchain technology, allows documents to be stored in an undeniable way. This means that the content of the document cannot be modified once the document is stored in the archive. Additionally, time stamp information is recorded in an undeniable way, which determines the exact date when the document was added to the archive.
